Title: Media Management Part 2 [Background music] Voiceover: The media we capture of our students, can be shared in a number of ways. Media can be shared with TSBVI staff very easily. Go to your Google Drive, select the media, or the entire folder that contains the media you want to share. Right-click or control-click to bring up the drop-down menu. Select "share." Type the staff member's TSBVI email address in the share window. Click "send." For safety sake, you should only use this type of sharing for current staff with TSBVI email addresses, unless absolutely necessary. All media captured of our students can be shared with a school district, a student's parent or guardian, school staff, or anyone with a legitimate legal interest in a student's educational records. There are lots of ways to share media. Use a file-sharing service like Edmodo, Google Drive, or the TSBVI Media Library. Media can be copied to a thumb drive that can be handed off, or mailed to a recipient. Or a DVD can be created featuring your video, or even photos. Please contact your supervisor if you need advice on creating a DVD. Media containing students without a signed media release can only be shared with with the express permission of the student’s parent or guardian. That’s why limiting your media to students with a signed media release, just generally makes all of our jobs easier. 
Whenever possible, try to feature only one student in any piece of media. This makes it easier to catalog, and makes it easier to use in end-of-year video compilations. If the media does include more than one student, make sure all students have a signed media release, and ensure that each student’s name is connected to that file. Editing may be required to remove any additional students, or to prevent the distribution of confidential information. If editing is required, please contact your supervisor about how to accomplish this. At the end of the term, it’s critically important to share all of your media with the digital archivist. Go to your Google Drive. Select all of the folder that contains media you created throughout the school year. Right-click or control-click to bring up the drop-down menu. Select "share." Now just fill out the survey, so we can get all the necessary information about your media. This helps keep everything organized, and easy to find, which will make it all the more useful for years to come.
